Skip Emails to Inactive Users Plugin

Introduction

This article features the Skip Emails to Inactive Users Plugin created by Mokxa Technologies, LLC. The Skip Emails to Inactive Users Plugin automatically restricts inactive users from receiving system-generated emails and notifications on Joget.

In enterprise environments, user accounts for resigned or inactive personnel are frequently assigned to specific user groups or email distribution lists. To satisfy strict compliance, historical reference, and auditing requirements, organizations cannot completely delete these user accounts or remove their email records from the system. Consequently, standard email tools continue to send notifications to these dormant accounts.

This plugin resolves this challenge by intercepting outgoing emails, verifying the target user’s current account status, and halting transmission to any user marked as inactive, ensuring that sensitive data remains intact while suppressing unwanted email delivery.

Key Features

  • Restricts inactive users from receiving email notifications.
  • Performs real-time user status validation against the central directory.
  • Requires minimal configuration to integrate with existing Joget email tools.
  • Supports various database platforms, including MySQL, MSSQL, and Postgres.
  • Ensures no data deletion is required for inactive users.

How to install

  2. Log in to your Joget instance as an administrator.
  3. Navigate to the Admin Bar and select Settings > Manage Plugins.
  4. Click Upload Plugin, select the downloaded JAR file, and click Upload.

How to use it

  1. Open the App Composer and navigate to the Process Builder.
  2. Drag and drop a Process Tool element onto your process workflow canvas.
  3. Select the Process Tool and map it to the Skip-Inactive-Users-Email-Tool.
  4. Configure the tool properties by mapping participant fields for To, CC, BCC, Subject, and Message Body.
  5. Map the tool to include participants with active statuses alongside inactive users in the To or Cc field.
  6. Download the sample app and prepare a user directory that includes both active and inactive user accounts.

Configure Properties

When configuring the Skip Emails to Inactive Users Plugin properties, set the following parameters:

  • To: Map the recipient users, groups, or workflow variables for the primary email recipients.
  • CC: Map carbon copy recipients or workflow variables.
  • BCC: Map blind carbon copy recipients or workflow variables.
  • Subject: Define the email subject line, supporting dynamic Hash Variables.
  • Message Body: Enter the content or HTML template of the email notification.

Expected Outcome

When the process executes, the plugin queries the central user directory in real time to validate the status of each mapped recipient. Active users successfully receive the email notification in their inboxes, while inactive users are dynamically filtered out before the email is sent, preventing unnecessary email delivery without requiring account removal.
